By visiting this Platform, providing your information, or availing any clinical consultations, therapy sessions, or other psychiatric services on the Platform, you consent to the handling of your data in accordance with this Privacy Policy.

In addition to general registration details (such as your name, date of birth, age, billing address, and contact numbers), we collect sensitive personal data that is essential for psychiatric diagnostic evaluation and therapeutic continuity. This includes:

• Clinical history, symptom descriptions, and intake questionnaire responses.
• Doctor consultation notes, psychiatric diagnoses, treatment plans, and therapeutic progress logs.
• E-prescriptions, medication lists, lab reports, and related mental health evaluations.

Your payment details (such as credit/debit card information) are processed securely through certified, encrypted third-party payment gateways and are never stored directly on our servers.

We enforce strict logical separation of data within our databases to protect medical confidentiality. Clinical records, including psychiatrist notes, diagnostic codes, and session evaluations, are accessible exclusively to the licensed healthcare professionals (psychiatrists, clinical psychologists, and therapists) assigned to your care.

Our administrative staff and platform engineers are strictly restricted from accessing clinical details, psychiatric notes, or diagnostic logs. Access controls are regulated via role-based access management, multi-factor authentication, and encrypted databases, ensuring that your most sensitive medical files remain secure from unauthorized internal or external views.

Your trust and safety are paramount in mental healthcare. RHOPE provides a 100% Session Non-Recording Guarantee. We do not record, intercept, store, or monitor any audio, video, or chat interactions during your telepsychiatry consultations or psychotherapy sessions.

All video calls are routed through secure, end-to-end encrypted peer-to-peer connection protocols. Any screen sharing, chat comments, or whiteboard materials used during the live session are ephemeral and are completely purged from memory immediately upon termination of the session.

To protect your clinical privacy, RHOPE restricts the use of unencrypted or personal messaging channels like WhatsApp. WhatsApp and SMS communications are used solely for transactional and scheduling purposes (e.g., booking confirmations, rescheduling notifications, and payment links).

Clinical diagnostic reports, detailed psychiatric assessments, and medical prescriptions are never transmitted over WhatsApp unless explicitly requested by the patient. All official medical documents and diagnostic records are delivered exclusively through our secure, password-protected RHOPE Patient Portal.

Under the Mental Healthcare Act, 2017, and relevant state medical regulations, we retain your official medical and psychiatric records for the legally mandated period required for clinical accountability. However, you retain the right to correct, update, or request the archiving of your personal profile details.

Upon receiving a profile deletion request, we will purge all personal identifiers from non-medical databases, keeping only the anonymized, encrypted clinical histories mandated by law for medical record retention.

In accordance with psychiatric ethics and the Mental Healthcare Act, 2017, the confidentiality of your clinical records may be suspended in extreme circumstances where there is an imminent risk of harm to yourself or others. In such crises, we may share essential medical or contact details with local emergency response services, hospital emergency rooms, or designated family members to ensure immediate physical safety.
